Supplier list management for a small retail business
Keep external contact details current, separate people from organizations and define who maintains each record.

A useful supplier directory helps the team reach the right organization, identify the right contact and understand which record is current. It does not need to become a large procurement system to solve those everyday problems. Start with reliable contact details, clear ownership and a review process.
Keep contact information separate from facts that require their own evidence, such as current prices, agreed payment terms or an accepted order. A note can point a colleague toward the right document, but it should not quietly become the only authority for an important purchasing decision. This guide focuses on maintaining a directory the team can trust.
What information belongs in a vendor directory
Record the organization name, contact person, email, phone, address and concise operational notes. Add enough context to distinguish similar names and explain why the team uses the supplier. Avoid putting every past conversation into one unstructured field.
For an illustrative packaging supplier, the record might identify the account contact and note that delivery questions go to a different named team. Keep supporting agreements in their appropriate records and reference them clearly. If a detail has not been confirmed, mark the uncertainty rather than making the directory look more complete than it is.
Separate company names from contact people
An organization can remain the same while its account representative changes. Keep the company identity stable and update the person-level fields when responsibilities move. This helps colleagues find the record even when they remember a previous contact's name.
Use recognizable naming conventions. If the team knows a trading name but invoices use another name, record enough context to connect them without creating duplicate suppliers. Check existing entries before adding a new one. A directory with three versions of the same organization makes it harder to know which email or phone number is current.
Verify supplier contact details
Confirm a new or changed contact through an established source before using it for an important request. Check spelling, the intended department and whether the person still handles your account. A copied email address is easy to save and easy to get wrong.
Assign someone to maintain the record when a relationship changes. The person who receives a new contact's details should know how to submit the update for review. Do not rely on a colleague's private inbox to remain the only place that knows about a supplier handover or a new ordering channel.
Keep purchasing notes specific and current
Write notes that help the next reader take an appropriate step. “Ask the account team about delivery timing before ordering bulky items” is a useful instruction when it reflects your actual process. “Usually quick” is difficult to apply and may become misleading.
Distinguish a past observation from a current commitment. If a delivery arrived in three days once, that does not establish an agreed three-day lead time for every order. Shopify's supplier relationship guide provides background on managing those interactions beyond storing a name. Keep the directory as an entry point to the relationship, not a substitute for confirming terms.
Give vendor records a clear owner
Choose who can add, update and archive contacts. Other team members should have a straightforward way to report a mistake without creating a competing record. Review permissions when a person changes responsibilities or leaves the business.
NIST's least-privilege definition offers a useful principle: grant the access needed for the task. In practice, someone may need to read a delivery phone number without needing permission to rewrite the whole supplier directory. Keep contact access and purchasing authority as separate decisions rather than assuming one automatically grants the other.
Review inactive supplier records
Archive a supplier when the relationship is no longer active but the details remain useful for reference. Before doing so, check whether staff or automated drafts still rely on the record. Update those dependencies so the next person is not directed toward an unavailable contact.
Retaining an archived entry can be more useful than immediately deleting it, especially where old documents still use the supplier's name. If the relationship resumes, review the details before reactivation. An address or contact that was correct last year should not be presumed current merely because it remains in the database.
Connect supplier details to stock follow-up
When a product needs replenishment, the directory should help the reviewer reach the right supplier after checking stock and existing orders. The contact record itself does not tell you whether a purchase is needed or how many units to buy.
headoffis can use a supplier with an email address in a low-stock workflow's order draft. The draft is not sent automatically and does not create an accepted purchase order. Read the alert response guide to define the human checks between a quantity warning and an external order. Keep that handoff explicit.
Avoid turning a contact list into an ERP
A directory is good at names, addresses and short context. Invoices, order lines, stock valuation, payment status and supplier performance history have different requirements. Putting all of them in notes makes the record harder to search and easier to misinterpret.
Keep the scope clear when choosing or documenting a tool. The headoffis Suppliers page is a business-wide contact directory shared across locations. It does not offer live accounting synchronization, supplier billing or purchase-order processing. Setup-only integration screens should not be treated as evidence that those external systems are already connected.
Introduce a regular directory review
Review a manageable group of records during normal purchasing work. Check the contact, purpose, duplicate risk and active status when the relationship is already in use. Record and resolve uncertainty instead of postponing the entire directory until an annual cleanup.
The headoffis workspace is coming soon. Its supplier and customer instructions explain the supported fields, access controls and archive behavior. External directory contacts do not become team members or consume seats. Prepare clean records now, then join the waitlist for launch updates as the workspace becomes available.
