Keep one list of the equipment your shop depends on: tills, barcode scanners, card readers, shelving, fridges and laptops. This free asset register template gives each item a tag, serial number, location, custodian, condition and service dates, then shows which services are overdue or due soon. Search the list, print it, or download text and CSV copies. The editable sample is a fictional shop's equipment as of November 3, 2026.
Make an equipment register
- Give the register a title and, if you like, the business name. Set the As of date. Service status is worked out against this date, so a printed copy stays accurate for the day it describes.
- Add each item with its own asset tag and a short description, such as "TILL-01, front till". Two items cannot share a tag.
- Fill in what helps someone find and identify it: category, serial number, location and the custodian who looks after it.
- Choose a condition: good, fair, poor or out of service. Add the purchase date, the last service and the next service date, plus notes on faults or follow-up work.
- Review the summary and the register check, then print the list or download it. You can add up to 150 assets.
The last service date cannot be before the purchase date, and the next service date cannot be before the last one. Use Start blank for your own list or Reset sample to see the example again.
What a small shop's asset register should hold
Start with equipment that people move, service, lend or replace. For a small store that usually means checkout hardware, refrigeration, fixtures, office IT and safety equipment such as step ladders. Stock for sale belongs in a separate list, because a register row describes one identifiable object rather than a quantity. The asset register template guide explains the difference in more detail and includes a spreadsheet version.
A tag is the reference people use out loud, so make it short and stick a matching label on the item. A pattern of type plus number, such as SCAN-01 and SCAN-02, keeps similar items apart. The serial number comes from the manufacturer and identifies one particular unit. Location and custodian answer the questions asked most often: where is it, and who do I ask? Use place names staff recognize, such as "Front counter" or "Stockroom".
Service dates and the register check
Each asset gets a service status. A next service date before the as-of date is Overdue. A date on the as-of date or within the following 30 days is Due within 30 days. Later dates are Scheduled, and an asset without a date shows Not set. The register records dates; it does not send reminders, so review the list on a regular day each month.
The register check looks for two things and never blocks printing. It quotes any serial number that appears on more than one asset, ignoring capital letters, since a repeated serial usually means one label was copied wrongly. It then lists assets marked out of service, so a broken label printer does not sit in the stockroom without a decision. When an item needs repair, a maintenance work order can describe the job.
Use it as an IT asset management checklist
Laptops, tablets, routers and card readers fit in the same register. A simple IT asset management checklist asks whether every device is listed, who has it, where it is and when it was last checked. NIST's guide to IT asset management and the CIS control for inventory of enterprise assets both start from an accurate device list, which this register gives you. Both go well beyond what a small shop needs, but the first habit is the same.
This is a register, not asset and inventory management software. It does not count stock, track depreciation, scan barcodes or keep a history of moves. For product counts, use the stocktake tool, and write repeatable checks as an SOP.
Search, print or download the register
Type in the search box to find assets by tag, equipment, serial number, location, custodian or notes. Every word you type must match. Filter by condition or service status to narrow the list further. The preview and printout show "Showing N of M assets" so a filtered copy says what it leaves out. Text and CSV downloads always include every asset.
Print / PDF opens the browser's print dialog, where you can choose a printer or save a PDF. The CSV holds one row per asset with every field, the service status and any check notes, ready for a spreadsheet. A printed list by area works well on a store visit checklist walk.
The draft stays in this browser tab when browser storage is available. Download a copy before closing the tab. Nothing is uploaded.
Frequently asked questions
Can I make an asset register without an account?
Yes. The asset register builder runs in your browser and needs no sign-up. Download or print the register to keep it, since the draft lives only in this tab.
Can I import an existing equipment spreadsheet?
Not into this builder. Enter the items here, or keep using the spreadsheet from the guide and print this register when you want the service check.
Does the register remind me when a service is due?
No. It shows overdue and upcoming services against the as-of date you set. Change that date when you review the list, then print or download a fresh copy.
