Prepare a small stocktake or cycle count with a simple list of products, expected quantities and actual counts. This free stocktake tool keeps the first count and an optional recount together, so you can see what changed before updating your own inventory records.
Prepare and complete a count
Enter a count name, store or location, date and the person counting.
Add up to 50 stock lines. Each line can include a SKU, area or bin and counting unit.
Enter the expected quantity. Keep units consistent within each line: bags, boxes and kilograms are different units.
Record the actual count. Leave a count blank until it has been checked; enter 0 when there is no stock.
Enter a recount if needed and add a note explaining a difference.
The variance is the final count minus the expected quantity. When a recount is present, it becomes the final count. An expected quantity of 24, first count of 22 and recount of 23 produces a variance of −1. The original count remains visible.
Review differences without losing the full sheet
Search by product, SKU or area. Use the filters to see uncounted lines or lines with differences. The summary shows how many lines are counted and how many have a variance. It does not add quantities measured in different units into a misleading total.
Downloads and printed sheets always include every stock line, even when the editor is filtered. For a paper count, choose blank count columns before printing or downloading text. The editable file still keeps the counts you entered.
Keep your count record
Download the stocktake JSON file to reopen the sheet later. Refreshing or leaving the page clears the current draft. Files are read on your device and replace the draft only after confirmation. You can also download plain text or print to paper or PDF.
This tool does not connect to a stock system or change inventory levels. Review the discrepancies through your usual process before making adjustments. Use the shelf label maker to prepare clearer product labels, or the simple taskboard to list follow-up work.
Frequently asked questions
Is this suitable for cycle counts?
Yes. Use one sheet for a selected shelf, aisle or group of products. The tool supports up to 50 lines per sheet, so you can create separate files for separate areas.
What is the difference between a blank count and zero?
A blank means the line has not been counted, and no variance is calculated. Zero means the count is complete and no stock was found. A recount requires an original count first.
Can I count fractional quantities?
Yes. Expected quantities, counts and recounts support up to three decimal places and a maximum of 1,000,000. Set the unit on each line so the quantities can be interpreted correctly.
Does this update my inventory automatically?
No. It is a standalone worksheet. The numbers remain in the open tab until you download or print them, and the tool sends no inventory changes to the business app.
