Make a departure easier to coordinate with one clear handover list. This retail offboarding checklist covers open work, returned equipment and a review of access, with space to name the person responsible for each step. Edit the sample, tick tasks off as they are done, then print or download a copy. You do not need an account, and nothing on the page is kept after you leave.
Confirm timing and responsibilities with the people who own each part of your process. For background on planning a departure, read the full offboarding guide.
How to use the checklist builder
- Enter the departing team member's name, the store or location, and their last working day.
- Review the sample handover, equipment and access tasks. Type a name in the Owner field beside each task, and remove any row that does not apply with its bin icon.
- Add business-specific steps with the New task field. Choose a section, then select Add task. The checklist holds up to 40 tasks.
- Tick each task when it is complete. The progress line shows how many tasks are done.
- Choose Download text for a plain-text copy with owners and completion marks, or Print / PDF to print the list or save it as a PDF from your browser's print dialog.
What the sample covers
The starter list has three sections.
- Plan the handover. Confirm the last working day and handover coordinator. List open tasks, commitments and the next owner for each. Arrange a handover of store procedures and shared work.
- On the last working day. Confirm the handover has reached the receiving person. Collect assigned keys, badges, equipment and other business property. Have the authorized administrator review and end access at the agreed time. Check shared schedules and contact lists with their owners.
- Close the loop. Record any outstanding property or handover actions and their owners. Confirm the responsible team has completed its departure administration. Store the completed checklist according to your business's records policy.
The first section works as a job handover checklist. The second is the last day of work checklist. Its property task can grow into an equipment return checklist. Replace the general wording with one row per item, such as each key, badge or device.
Treat access as its own review
The access task is a prompt, not an action. Ticking it records only that someone marked it done; it does not change any system. An authorized administrator must end access in each system and confirm completion. To build a short access removal checklist, add one row per system the person used, with the administrator responsible as owner.
CISA's Cyber Essentials recommends IT policies and procedures that address changes in user status, such as transfers and terminations. CISA's page on insider threat mitigation defines an insider as anyone who has or had authorized access to an organization's facilities, equipment or systems, which is why access review belongs on the list.
Pay, benefits and paperwork depend on your business and location. Add them as reminders if they help, and follow your own procedures and local law for what is required and when. This page gives no legal advice.
Keep a record of the departure
Refreshing or leaving the page resets your draft, so download or print before you close the tab. The plain-text download lists the name, location, last working day, a count of completed tasks, and every task with its completion mark and owner. Federal guidance on how long to keep personnel records is on the EEOC's recordkeeping requirements page; your own policy and local rules decide what you keep.
The printed copy shows the checklist alone. Empty name, date and owner fields print as blank lines, so a fresh print serves as a printable offboarding checklist to complete by hand.
Frequently asked questions
Does ticking an access task revoke someone's access?
No. Ticking a box only marks this draft checklist. An authorized administrator must make any access changes in the relevant systems and confirm completion.
Can I keep a copy of the completed employee departure checklist?
Yes. Download the current checklist as plain text or print it, including task owners and completion marks. The page itself does not retain the record after you leave or refresh.
Will the tool notify the people I name as owners?
No. Owners are text notes in your draft. The tool does not send messages, assign saved work or contact anyone.
Can I reuse the employee leaving checklist for the next person?
Yes. Download the finished copy, then choose Reset sample. After you confirm, the original tasks return and the name, location and date fields clear.
How many offboarding tasks can I add?
Up to 40 across the three sections. Sections are fixed, so to move a task, remove it and add it again under another section. When you hire a replacement, the onboarding checklist builder covers the first week.
