How to manage multiple businesses from one sign-in
Use a single sign-in across several businesses, each with its own catalog, stock, team and subscription, and a role that can differ from one business to the next.
Help center / Account and data
One sign-in can belong to several businesses, with a different role in each. Each business has its own catalog, planograms, stock, sales, people and subscription. You use one login for multiple businesses and move between them without signing out.
Switch between businesses
- Open the business selector at the top of the workspace, beside the store selector.
- Choose the business you want. headoffis opens its Overview page.
- Pick the store you want to work in from the store selector next to it.
The Business page lists every business your sign-in belongs to, with your role in each, and you can change business from that list too. If a save is still in progress, the switch waits, so a change is never left half saved.
Add a new business
- Open the Business page and choose Add business.
- Enter the business name and the name of its first location, such as Main store.
- Choose Create business. You become the owner of the new business.
- People & roles opens next. Set up the business's Stripe subscription there, then add the people who work in it.
The new business starts empty with one location and an empty product catalog. Nothing is copied from your other businesses, so add its products and fixtures the same way you did for the first one, by hand or with a CSV import.
Join a business someone else owns
An owner or admin of the other business adds you in People & roles. They enter the email of your existing account and leave the password blank. Once the payment for your seat is confirmed, the business appears in your selector. headoffis does not send invitation emails, so ask them to tell you when it is done.
What each business keeps separate
- Products, fixtures, planograms, store maps, approvals and checklists.
- Stock counts, sales, replenishment settings and low-stock alerts.
- People, roles and the Work board.
- Suppliers, customers, workflows and integration mappings.
- Its own subscription and seats.
There is no shared stock pool. Inventory for multiple businesses is counted and reported one business at a time, and stock transfers move units between locations inside the same business only. A workspace backup downloaded from Settings covers the business that is open when you download it.
Different roles in each business
Each business sets your role on its own. You might be the Owner of your shop and an Employee in a partner's store, and the permissions you hold in one have no effect in the other. The Business page shows your role in the open business, and the list of your businesses shows the role beside each name. Only people whose role includes Manage team members can change your role there, and no one can change their own access.
Multiple store locations or a second business?
Before you add a business, decide whether the new shop belongs inside an existing one. Several stores that share an owner, a product catalog and a team usually belong in one business. Locations in one business share the catalog, and you can transfer stock between them. A business holds up to 10 stores.
Create a separate business when the shop is its own company, keeps its own books, or has a different team and catalog. A separate company may need its own tax registration; the IRS explains when a business needs a new EIN, and the SBA guide to launching a business covers structure and bank accounts.
Worked example
This is an illustration, not customer data. An owner runs a gift shop with two locations and, separately, a café.
- The gift shop is one business with two locations. The owner and three staff are active, so its 4 seats fit within the US$29 monthly business plan.
- The café is a second business with one location. The owner and two staff are active, so its 3 seats fit within its own US$29 monthly business plan.
- The owner holds a seat in each business, because every active person counts, including owners. The two subscriptions total US$58 a month.
Gift shop staff never see café stock or sales, and the café manager can hold the Manager role in the café without any access to the gift shop.
Frequently asked questions
Can I have two businesses under one account?
Yes. One sign-in can belong to up to 100 businesses, and each business can have up to 200 people. Your role and permissions are set separately in each one.
How much does a second business cost?
Each business has its own US$29/month subscription including five active people, owners included, then US$5 per additional person. If you are active in two businesses, you hold a seat in each. Locations and all available features are included, with access controlled by each role.
Why can't I see a business I was added to?
Access starts only after the payment for your seat is confirmed. Ask the owner to check the subscription status under Business seats in People & roles, then reload the page.
