Troubleshooting common errors in your workspace
What common headoffis messages mean, from connection and save problems to fit checks and permissions, and how to get going again.
Help center / Account and data
Most messages in headoffis name their cause, and none of them overwrite work that was saved. This page explains what each common message means and how to get going again.
Get going again in four steps
- Read the whole message. Most say what went wrong and what to do next.
- Check your internet connection, then reload the page.
- If a change was refused, look for a permission name in the message and ask for that permission.
- Make the change again in the refreshed workspace.
"Cannot reach your workspace" or "Your workspace needs attention"
headoffis could not reach the server. Confirm the device is online, then reload the page or choose Try again. If the message persists after the connection is back, choose Sign in and sign in again. Changes that were not saved show an error; nothing is overwritten. If other websites fail to load too, Mozilla's guide to connection problems walks through network checks that apply to any browser.
"Another tab saved a newer version"
Someone else, or another tab of yours, saved first. headoffis never overwrites newer work, so it reloads the latest copy. Make your change again.
This is a save conflict. Every save carries the version it started from, and a save made against an older version is refused, much like an HTTP 409 Conflict response. Two people can work in the same business at once; the second save of the same moment is the one that needs repeating.
Why won't my changes save?
Other messages that stop a save, and what to do:
- "This app version is out of date. Reload headoffis before saving." The open page is an older version of headoffis than the server expects. Reload the page, then repeat the change.
- "Please sign in again." Your session ended. Sign in, then repeat the change.
- "This layout has changed. Review the latest version before editing." Someone edited the planogram while you had it open. Review their version first.
- "Stock changed while this form was open. Reopen it to use the latest count." Close the form and open it again.
Each change saves completely or not at all. A sale and its stock deduction, or both sides of a stock transfer, never save halfway.
A layout check says a product does not fit
Checks use the sizes you entered. Confirm the product and fixture measurements, then reduce facings, move the product, or choose another shelf. Each message points to one cause:
- "exceeds shelf width": the product's width times its facings runs past the end of the shelf. Reduce facings or move it left.
- "too tall for the shelf clearance": the product is taller than the space between shelves. Choose a shelf with more clearance or change the fixture.
- "too deep for this shelf": the product is deeper than the fixture.
- "overlaps" another product on a shelf: two placements share the same space. Move one of them.
- "confirm the product measurements": the product's sizes have not been confirmed yet. Check them in Products.
One cause to rule out first is a size entered in centimeters where inches were meant. When a product does not fit on the shelf after you have checked its sizes, the plan needs fewer facings or a different fixture.
A button is unavailable, or a change is refused
Your role does not include that permission. A refused change shows "Your role does not allow:" followed by the permission's name. Ask an owner or admin to change your role in People & roles. When you ask an admin for access, give them the permission name from the message, so they can add that one permission or choose a role that includes it.
Why is the button grayed out?
Check the permission above first. A button is unavailable while a save is still in progress, and returns once it finishes. Some buttons stop at a limit: Add store turns off once a business has 10 stores.
Stock and sales messages
- "Only" a number of "units are available" at a location: a sale cannot take more than the recorded stock. Count or receive stock first.
- "Count or receive stock at this location before recording sales": the location has no recorded count.
- A transfer cannot move more units than the source location holds.
- A location or product that holds stock cannot be removed. Move the stock or record a zero count first.
- "The 10,000-entry sales limit has been reached": new sales are blocked so that existing history is kept.
Backup messages
"Backup could not be read" means the chosen file is not a readable headoffis backup or is larger than 20 MB. Nothing in your workspace changes. Choose a different file, such as one downloaded unchanged from Settings.
