Build a clear invoice for a retail order or a service without creating an account. Choose the Classic, Studio or Minimal layout, add your business details and logo, and give your customer an itemized view of the amount due. Each layout works as a free invoice template: the live preview shows the same design you can print or save as a PDF.
Start with the fictional retail or services example, or begin with a blank page. Your draft stays in this page's memory and resets when you refresh or leave, so print or download a copy before you go.
How to use the invoice editor
- Choose a layout and one of three accent colors: Forest green, Slate blue or Warm clay. Pick the retail sale example, the services example or a blank invoice as your starting point.
- Replace the document title, number, issue date and optional due date. Add an order reference if your customer asked for one.
- Enter your business name, address and contact or registration details. Add an optional PNG, JPEG or WebP logo up to 2 MB and 4096 × 4096 pixels.
- Enter the customer's name and address, then add up to 25 items with a description, quantity and unit price.
- Enter a discount percentage, one tax percentage and its label, and any amount already paid. Write your payment instructions and notes.
- Check the preview, then choose Print / PDF for the designed copy or Download text for a plain-text copy.
Switching the layout or color keeps your details. Loading another starting point replaces them after you confirm.
How the totals are calculated
Each quantity times its unit price is rounded to two decimal places, half up. The discount percentage applies to the subtotal, and the single tax percentage applies to the discounted subtotal. Both round to two decimals. Any amount already paid is subtracted from the total to give the balance due, and it cannot be more than the total.
Here is an illustrative example using the retail sample's items. The 10% discount, 8% tax rate and US$50.00 payment are made-up figures for the demonstration, not suggested rates.
You can choose USD, CAD, GBP, EUR, AUD or NZD, all with two decimal places. Changing the currency changes the label only; the tool does not convert amounts.
What this tool does not do
This is a standalone drafting tool. It does not email customers, collect payments, send reminders, check tax requirements or keep accounting records. You supply the tax rate; the tool does not determine which taxes apply. It cannot issue an official sequence of numbers, so keep your own log and make sure each invoice number is used once.
Download text gives you the details without the design, and Print / PDF keeps the template, color and logo. The tool keeps no saved copy, so file the version you send.
For a sale that has already been paid in full, use the receipt tool instead.
Frequently asked questions
How to make an invoice
Give the document a unique number and an issue date. Add your business and customer details, then one line for each product or service with its quantity and price. Show the total, any tax, the amount owed, and how and when to pay. Send it through your usual channel and keep a copy.
What should an invoice include?
Requirements depend on where you trade. As general information, GOV.UK guidance on invoices lists a unique identification number and your business name, address and contact details. It adds the customer's name and address, a description of what you charge for, the supply date, the invoice date, the amounts charged, VAT where applicable and the total owed. This editor has no separate supply-date field, so put that date in the reference or notes if you need it.
Invoice vs receipt: which one do I need?
An invoice asks for payment and states the amount due. A receipt confirms that payment was made. GOV.UK puts it the same way: an invoice is not the same as a receipt, which is an acknowledgment of payment. Send an invoice before you are paid and a receipt afterward.
What payment terms should I write?
State the due date, the accepted payment methods and the reference the customer should use. In the UK, unless you agree a payment date, the customer must pay within 30 days, according to GOV.UK guidance on payment obligations. Rules differ in other countries, so check local guidance. Put these details in the payment instructions field.
How to save invoice as PDF
Choose Print / PDF, then select Save as PDF in your browser's print dialog. The file includes your selected template, accent color, logo and details. That PDF gives you a printable invoice to attach to an email or hand over in person.
Should I keep copies of my invoices?
Yes. The IRS lists invoices among the documents that support a business's gross receipts (IRS recordkeeping guidance). Because this page saves nothing, store each small business invoice you send in your own records.
