Free tools for independent retailers, grouped by job
Paperwork, price and stock calculators, labels, shelf plans, shift lists and contact tracking you can use in a browser without an account, with notes on when each one helps and when a shared system is the better fit.

A small shop needs paperwork, price checks, labels, shelf plans, shift lists and a way to keep track of customers. Most of that can be done with free tools, as long as you know what "free" covers. On this page it means a tool that opens in your browser without an account, collects nothing from you, and lets you print or download what you make. The draft stays in the browser tab until you close it, so keep a copy of anything that matters. The calculators save nothing at all.
The sections follow the groups on the tools page, and each line says when a tool is worth opening. None connects to a point-of-sale system, sends messages or shares a live copy with your team. For where a store should be listed online, see the guide to local business directories.
Sales paperwork
- Invoice generator: when a customer owes you money and needs line items and payment terms on paper.
- Receipt generator: when a sale has been paid and the customer wants a record of items, tax and payment.
- Income and expense tracker: when you want money in and out totaled by month and category.
Pricing and stock numbers
These are free pricing tools for shops that have the figures to hand but no spreadsheet open.
- Margin and markup calculator: when you are setting a price from a cost, or checking the profit on a price you already charge.
- Quote and estimate generator: when a customer asks for a proposal before they commit.
- Purchase order generator: when a supplier order needs quantities, delivery notes and totals written down.
- Delivery note and packing slip generator: when goods leave the store with a list to check them against.
- Cash reconciliation tool: when you count the drawer and want the overage or shortage worked out for you.
- Shift handover tool: when the next shift needs to know what is unresolved.
The free retail calculators cover stock and money questions: a reorder point, a safety stock buffer, sell-through, inventory turnover, days of supply, the break-even point, GMROI, open to buy for a buying period, the cost of a markdown, and initial and maintained markup. Each shows its formula with a worked example and uses only the numbers you enter.
Labels and counts
- Shelf label and barcode maker: when prices change and you need printable labels with a SKU or product barcode.
- Stocktake tool: when you count a section and want expected quantities, counts, recounts and variances on one sheet.
- Product description generator: when your own notes on a product need to become a listing title, description and bullet points.
Store and shelf planning
A free merchandising software download usually means a trial of a larger product. These planners are not trials; they work in the page you have open and print what you lay out.
- Store layout planner: when you are placing fixtures in a measured room.
- Planogram builder: when you want to try widths, products and facings on one fixture before you touch the shelf.
- Shelf capacity calculator: when you need to know how many units of a package fit across and deep on a clear shelf.
Daily routines
Free checklists for retail stores work best when every shift starts from the same list.
- Opening checklist: when the morning routine lives in one person's head.
- Closing checklist: when restocking, the register count and lockup need the same order every night.
- Delivery receiving checklist: when a delivery arrives and you want shortages and damage logged against the order.
- Weekly cleaning checklist: when deeper cleaning jobs get missed.
- Store visit checklist: when you review a store's floor standards and assign follow-up actions.
- SOP generator: when a routine needs numbered steps, an owner and a review date.
Hiring and your team
- Job ad and hiring sign maker: when you have a vacancy and need a clear ad and a window sign.
- Interview scorecard: when every candidate should get the same questions and a score for each answer.
- Onboarding checklist and offboarding checklist: when someone's first week or last day needs a plan.
- Staff rota builder: a free staff scheduling template for one week, with shift times, breaks and hours per person.
- Timesheet calculator: when a week of hours includes unpaid breaks, overnight shifts and overtime.
- Skills matrix: when you need to see who is trained to do each job, from the till to locking up.
- Staff cost calculator: when a new hire's cost needs comparing with your margin.
Customers and tasks
- Simple CRM: when follow-ups slip and up to 100 contacts need stages, dates and next steps.
- Simple taskboard: when the week's work needs To do, In progress and Done columns.
AI at work
- AI policy template: when staff use AI tools and nobody has written down which are approved or what must never be entered.
- AI readiness checklist: when you want records, data rules and a trial plan checked before an AI trial.
- AI ROI calculator: when you want a tool's cost compared with the hours it saves.
Neither the template nor the checklist uses AI itself; they arrange what you type.
What free software do retailers use alongside these tools?
Builders and calculators cover single tasks. Retailers combine them with a few free services that hold data over time. The vendors named are examples in no order of preference; check current terms before you rely on one.
| Need | Free category | What to check |
|---|---|---|
| Lists that outlast a browser tab | A spreadsheet from Google Sheets, LibreOffice Calc or the free tier of Microsoft Excel | Who can edit, and where it is backed up |
| Email for the business | A free business email tier | Whether you can use your own domain, and the storage limit |
| Bookkeeping | A starter tier of an accounting package, or the IRS record-keeping guidance with a spreadsheet | What the free tier caps, and how you export if you leave |
| Being found nearby | A free Google Business Profile, with the other listings in the directories guide | That name, address, phone and hours match your sign |
The IRS list of supporting documents names sales slips, invoices and receipts among the records a business should keep, one reason to download the paperwork you issue. The SBA's guide to managing a business covers finance, payroll and hiring beyond any single tool.
Where free retail software fits, and where it stops
Most apps for retailers that advertise a free plan are a trial, a plan capped at one user or register, or a tool funded through payment processing. The retail industry tools on this page avoid that question by not holding your data at all, which is their strength and their limit.
The limit shows when two people need the same list. A printed checklist does not tell the manager at another store what was missed. A reorder point calculated in a tab is not attached to a product that someone will review next week.
That is where a shared system earns its place: one record for each product, location, task and person, with permissions deciding who can change it. headoffis is being built for that job and is coming soon; its features page describes the shared workspace. Until then, the free tools above do the single tasks well.
